You can collaborate on research with colleagues or classmates by sharing a group of references in Endnote. Only Groups can be shared (not Smart Groups or From Groups). While a group can be shared from the desktop, the people with whom the group is shared will only be able to access it from their online account. Depending on permissions, they may or may not be able to edit the group, but they will never have access to any PDF attachments. 

Share a group from Endnote on desktop: 

  1. Identify the Group you wish to share. (NOTE: To make incorporating references into a Word document easier, the shared group should originate with the person who plans to finalize the bibliography.) 

  1. Right-click (Ctrl+click on a Mac) on the name of the Group in My Library or select the name and go to the Groups menu. Click on Share Group. 

  1. Enter the email addresses of the users you want to share with. You must use the email addresses associated with their online Endnote account. 

  1. Set Read & Write permissions for each person. 

  1. In order to access the group, the invited person must accept the email invitation. The shared group will appear in their Endnote desktop software under the Group Set “Groups Shared by Others,” but clicking on the name of the group will take them to their online account 

Share a group from Endnote Web: 

  1. From the Endnote Online homepage, go to the Organize menu and select Manage My Groups. 

  1. Identify the Group you wish to share, check the Share box next to the group’s name, then click on the Manage Sharing button. (NOTE: To make incorporating references into a Word document easier, the shared group should originate with the person who plans to finalize the bibliography.) 

  1. Click on “Start sharing this group” and enter the email addresses of the users you want to share with. You must use the email addresses associated with their online Endnote account. 

  1. Set Read & Write permissions for each person. 

  1. In order to access the group, the invited person must accept the email invitation. The shared group will appear in their Endnote desktop software under the Group Set “Groups Shared by Others,” but clicking on the name of the group will take them to their online account
